JOB DESCRIPTION:
  • Greets and directs visitors to appropriate individuals or meeting room.
  • Answer, screen, and forward incoming phone calls.
  • Manages incoming meetings and organizes catering as needed.
  • Ensure the reception area is tidy and presentable.
  • Stock and clean breakroom throughout the day.
  • Handle any maintenance or repairs with building management.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries.
  • Responsible for all FedEx deliveries and shipping in the Wellington office.
  • Ensuring that all conference rooms are clean and organized after each meeting.
  • Monitor and stock all office and kitchen supplies, and food – including the purchase of various items i.e. copy paper, office supplies, catering, etc.
  • Assist as needed in organizing customer/company events.
  • Arrange travel and accommodations as needed.
  • Keep updated records of office expenses and costs.
  • Reconcile and submit expense reports using Expensify.
  • Organizing, ordering, and clearing all catering for meetings and working lunches.
  • Works with HR/Office Manager during the onboarding process to ensure appropriate seating, waivers are distributed, and signed and requests keys and badges as needed.
  • Adheres to the Company Culture and Core Convictions.
  • Other duties as assigned or requested to support business needs.
  • Assisting the management and executive team with miscellaneous tasks.
  • Assistance in the event coordinating and sales meeting coordination.
  • Maintaining a good relationship with all employees.


REQUIREMENTS:

  • Proficient with MS Office Suite (Word, Outlook, PowerPoint, Excel).
  • Ability to perform multiple tasks in a fast-paced environment.
  • Flexibility to juggle changing priorities.
  • Ability to pay attention to detail.
  • Minimum 1 year receptionist or admin experience
  • Retain a friendly positive demeanor at all times.
